Intern - Events, Olympic Museum [Switzerland]

As a TOM Events Intern, you will lend support to the Events team at the Olympic Museum responsible for planning, organising and running services for businesses, educational establishments, institutions, tourist groups, The Olympic Museum’s internal and external clients, and the catering team.

Main responsibilities
  • Manages weekly printing (menus, posters, etc.) for upcoming events.
  • Assists the “TOM Events” team with managing calls and emails (providing information, classifying and following up on requests);
  • Provides support for managing school group reservations (classifying requests, reservations, providing confirmation, following up with the teacher) and guided tour reservations;
  • In collaboration with the Business Events Manager, works on events entrusted to him/her, including planning, on-site organisation and invoicing;
  • Carries out routine administrative tasks: data entry, managing correspondence, updating work documents;
  • Lends on-site assistance when managing several contacts and/or suppliers, and is able to keep the client updated on the event underway.
  • Lends support to the catering team (TOM Café and other catered events) to format sales material.

Our requirements
  • Recent graduate, or hotel school or equivalent training, and/or experience of international events;
  • Excellent knowledge of English and French (preferably bilingual); knowledge of German an asset;
  • Ability to work in a team, both in terms of managing workflow and communicating with colleagues;
  • Perfect command of Word, Excel, PowerPoint, IT solutions linked to events management, Outlook and the internet.
  • Excellent organisational skills;
  • Speed and reliability in executing tasks;
  • Sense of urgency, priorities and service;
  • Ability to take the initiative; attuned to particular activities and needs;
  • Good communication skills and general all-rounder;
  • Ability to manage stressful situations;
  • Flexibility in terms of working hours in general;
  • Interest in sports events and international current events;
  • Excellent command of the corporate tools and ability to follow the internal user rules (Outlook, etc.).
