Responsible For: Smooth and efficient running of all departments in the absence of the Hotel Managers, dealing with queries, compliments and complaints from guests.
To instil a sense of urgency, and maintain and control effective departmental communication
Liaises with all Heads of Departments:
Head Chef, Accommodation Manager, Front of House Manager, Human Resource Manager, Bar and Restaurant Managers.

General Duties:
- Ensure that all guests are greeted with a genuine warm welcome
- Ensure that all guests requirements are known and adhered to prior to the guest arrival i.e. that reservation, sales, accommodation, management requests are carried out according.
- To ensure that all staff are always correctly and smartly dressed, looking respectful and presentable. Every staff member must offer professional and courteous service to their guests through regular training.
- To ensure that room service orders are executed promptly and efficiently, and that they comply with the required standards set out by Hayfield Manor.
- To ensure all banqueting rooms and facilities are clean and tidy – the Vine/Wine Cellar, Private Dining Room, Executive Boardroom, Function Rooms and Conference Lobby.
- Monitor Staff whilst on duty – ensure that staff are sent home as soon as they are finished their shift, monitor any staff/supervisors who are finishing up at night time, Kitchen porters and Bar staff also need to be monitored.
- In conjunction with the Hotel Managers, ensure that consumable and non-consumable goods are ordered, correctly stored and issued to the various departments. Every staff member must be made aware and must receive the correct training to carry out the use of operating equipment and machinery.
- Ensure that Hayfield Manor hotels statuary hygiene levels are maintained in all areas at all times.
- Ensure that reports and administration requirements are timelessly submitted.
- In conjunction with the Human Resources Department, ensure that the causes of staff grievances are investigated and the appropriate action is taken.
- To be fully aware of trends in the industry and make suggestions for improvements of the catering operation.
- To carry out or ensure that regular ‘On-the-Job-Training’ is taking place to the establishments agreed standards.
- To ensure that all tills are interfaced and in correct working order
- To liaise with Accommodation regarding Linen usage and cost and assisting where necessary. Monitor and report any lien misuse to Management
- To comply with company regulations regarding- Fire, Health & Safety, Hygiene, Customer Care
- Familiarize yourself with the 9000 accounts and ensure that if on your shift, all accounts have been charged accordingly.
- That all dinner and spa reservations are made correctly and adhere to the instructions by the Head Chef, Restaurant Managers / Supervisors and management
- Efficient and effective communication between concierge / porters, switchboard, reception, reservations and management, as well as other departments.
- Familiarize yourself with reception practices as advised by the reception team and night manager.
- That all phone calls are answered within 3 rings, in line with the hotel policy
- To ensure accurate and correct billing is carried out. It is important that there is good communication between front office and accounts to ensure service charges and other facilities charges are added to bills correctly.
- To ensure that all guests are thanked for their custom, given the correct bill, and wished a fond farewell ensuring that all assistance is offered with luggage and directions.
